Each account can only submit one application. Please do not submit more than one meeting request under the same email address. 

The deadline to submit an ancillary request is January 16, 2026, 11:59pm PST.

The Canadian Association for HIV Research is accepting requests for ancillary events in conjunction with the 35th Annual Canadian Conference on HIV/AIDS Research (CAHR 2026). All ancillary events must be scheduled outside the official CAHR Conference program, which runs from approximately 4:00pm on Thursday, April 23 to 1:00 pm on Sunday, April 26, 2026. For more information about hosting an ancillary event at CAHR 2026, please visit: www.cahr-acrv.ca/conference/ancillary-event-requests/.

CAHR strives to accept all ancillary event requests, however, depending on the number of requests received and the specifications of each event, it may not be possible to accommodate all requests.

If your application is accepted, CAHR will promote your event through the 2026 Conference website and via marketing emails. CAHR will provide meeting space at no cost for ancillary events. All other costs (including any audio visual needs, food and beverage, etc.) are the responsibility the event organizer.

To submit your event request, please complete the form below. The deadline to submit your request is Friday, January 16, 2026, 11:59 pm PST. You may revise your submission up until Friday, January 16th, 11:59 PM PT. Any changes after this date will need to be emailed directly to conference@cahr-acrv.ca.

Event Participation

Please provide information on any participation restrictions from CAHR Conference attendees (i.e. by invitation only, for members only, only for researchers from a specific geographical region, etc.). The organizer is responsible for arranging any pre-registration requirements (ie. Registration database, confirmation of acceptance, etc).

Please note: CAHR Conference ancillary events are generally not open to the public due to space restrictions. If you would like to invite non-Conference delegates, you must send a formal request in writing to conference@cahr-acrv.ca with the reasoning and the approximate number of non-Conference delegates you anticipate attending. Please note the ancillary events open to non-Conference delegates may be charged a meeting room rental fee.

How to Register

If pre-registration for your event is required, please include details of the registration process (i.e. an email contact, link to an Eventbrite site, etc.).

If no information is entered, it will be assumed that your event is open to all CAHR delegates and no pre-registration is required.
