Public Health Safety Protocols

In an effort to support knowledge exchange and maintain the strong sense of community that has been built for decades at the CAHR Conference, the CAHR Board of Directors understands the importance of following all public health guidelines at the time of the Conference.

Accordingly, every effort will be taken to make the event a safe and healthy experience. All registrants must agree to the terms listed below in order to proceed with registration and to participate in CAHR 2026 in-person.

  • The name and contact information of a Canadian researcher who can act as a reference;
  • An overview of the current HIV research partnership with a Canadian counterpart that will be showcased at the conference; and

CAHR 2026 Registration

Please visit www.cahr-acrv.ca/conference/registration for more information on registration categories and cancellation policies.

Registration fees are quoted in Canadian Dollars ($ CAD) and fees are determined by when payment is received, not by the date of registration. Early Bird rates are available until Wednesday, March 18. Pre-registrants who pay their registration fee on or after Thursday, March 19 will be charged the regular registration fees. Daily attendance fees are not available.

Please note: Photographs will be taken during the Conference, which may be used for promotional purposes. By registering for CAHR 2026, you provide your consent for CAHR and its suppliers to use any photographs of the event for promotional purposes.

*NOTE: Community members are eligible to apply for the Community Registration Scholarships which cover the cost of registration fees for CAHR 2026. For more information on the Community scholarships visit www.cahr-acrv.ca/conference/scholarships-awards. The deadline to apply is Monday, January 16, 2026.

Student Identification

In order to proceed with your registration, proof of student/trainee status is required. Proof consists of a copy of your student ID or a letter from your institution’s Registrar verifying student/trainee status. Please ensure the enrolment year(s) is indicated.

If you are a New HIV Researcher, please supply proof that you have graduated within the past five years.

Evening Social

The CAHR 2026 Evening Social will be held Saturday, April 25, 2026 at the Crystal Ballroom of the Fort Garry Hotel, Spa & Conference Centre in Winnipeg. Evening Social attendance is not included in your registration package. CAHR 2026 delegates may purchase one ticket at the Conference Attendee rate of $150. Additional tickets for guests or others interested in attending may be purchased by a Conference Attendee for $175 each. Please select the applicable box(es) below to purchase tickets to the Evening Social.

Each year, CAHR works to accommodate the needs of all conference delegates. This year's venue is an accessible building 700 metres from the Convention Centre. Please note that due to physical limitations of the building, a quiet room for those seeking quieter interaction will not be available.

The CAHR 2026 scientific program will be an Accredited Group Learning Activity as defined by the Maintenance of Certification program of The Royal College of Physicians and Surgeons of Canada.

New HIV Researcher Workshop

If you would like to attend the New HIV Researcher Workshop taking place on Thursday, April 23, 2026, please register below. The agenda is still under development and will be shared with registrants prior to the event. For planning purposes, this workshop will run from approximately 8:30am - 3:30pm.

This workshop is designed for graduate students, doctoral students, postdoctoral fellows, medical students/interns/residents, and trainees.

Registering for the CAHR 2026 Conference gives you a one year membership for the Canadian Association for HIV Research and enables you to receive regular email updates regarding the Association. Communication may include E-newsletters, important Conference information and information about CAHR’s work. Conference Code of Conduct

The Annual Canadian Conference on HIV/AIDS Research (CAHR Conference) is dedicated to providing a safe, harassment-free environment for all participants. We invite you to help us make this conference a place that is welcoming and respectful for all participants, regardless of race, gender, age, sexual orientation, disability, physical appearance, body size, national origin, ethnicity, or religion.

As a Code of Conduct, we expect all participants (attendees, speakers, sponsors, exhibitors, organizers and volunteers) at CAHR conferences (and CAHR workshops, offsite social events, online activities and social media before, during and after the conference itself) to treat others with respect.

Behaviours that are not respectful will not be tolerated at CAHR related events. To ensure a positive environment for all, below we have defined unacceptable behaviour and harassment, consequences of unacceptable behaviour and provided guidance on what to do if you witness or are subject to harassment at a CAHR event. 

Unacceptable Behaviour

These behaviours, in any form, will not be tolerated at the Conference:  

  • Harassment (see full definition below)
  • Intimidation, deliberate stalking or following
  • Abuse
  • Discrimination
  • Use of dehumanizing language, images, or clothing.  This includes presentations, slides, and speaker content.
  • Possession of an item that can be used as a weapon causing harm to self and/or others

Our definition of harassment includes:

  • Unwelcome or hostile behaviour, including verbal or written comments that intimidate, create discomfort, or interfere with a person’s participation in the conference
  • Unwelcome physical contact
  • Unwelcome sexual attention

If You Experience or Witness Unacceptable Behaviour 
We need your help to keep the conference community safe, accountable and responsible. If you experience or witness any forms of unacceptable behaviour, please bring your concerns to the immediate attention of conference staff via email at info@cahr-acrv.ca.

Conference staff will be happy to assist those experiencing harassment to feel safe for the duration of the conference. Thank you in advance to Conference participants for your help in keeping the event safe, welcoming and respectful for all.

Consequences of Unacceptable Behaviour
Participants asked to stop unacceptable behaviour are expected to comply immediately. Participants who violate the Code of Conduct may be expelled from the conference and related-activities without a refund and/or banned from future events at the discretion of the CAHR organizers and/or CAHR Board of Directors.

Cancellation, Refund and Substitution Policy

All cancellations or substitution requests must be received in writing by Sea to Sky, an MCI Company via email to conference@cahr-acrv.ca. Refunds for registrations are available until Wednesday, March 18, 2026. Refunds will be subject to an administration fee of $100 per person for all registration categories. As of Thursday, March 19, 2026, no refunds will be provided, however, substitutions can be made until Wednesday, April 8, 2026. Substitutions must be made at an equal or lesser registration category. No refunds will be issued for substitutions. All registration fees must be paid in full by Friday, April 3, 2026. After this date, any registrations that have not been paid in full will be cancelled.

Cheque
If you are paying by cheque, include “CAHR 2026” and the name of the registrant(s) on the cheque and make the cheque payable to MCI Group Canada Inc. Funds are due in Canadian Dollars and must be drawn from a Canadian bank. The payment address will be included on the invoice that is sent to the email address provided in this registration upon completion of your registration. A receipt will be sent to the email address provided in this registration once payment has been received. Payments by cheque must be completed in full by Friday, April 3, 2026. After this date, registrations that have not been paid in full will be cancelled.

If paying by credit card, CAHR-ACRV Conference will appear as the vendor on your credit card statement.
